5.15 - Email - How do I use the new control panel, and what can I do with it?
The
new Simply Bits mail server provides users with a range of options that
they can control themselves, all from a dedicated control panel.
- Change their email password
- Forward their email to another email address
- Enable an auto-responder for when they are out of town
- Turn on or turn off the anti-virus scanner
- Turn on, turn off the spam filter
- Whitelist your friends email address so they are not inadvertantly caught by the spam filter
- Train the spam filter to catch more of the junk mail
To
use these new tools browse to https://mailhosting1.simplybits.net:8443
and login with your email address and password. The various icons
perform different functions. Help is available at anytime, for almost
every function. Click the Help link on the bottom left corner of the
page.
Antivirus - you can turn it off completely, have it scan only incoming, only outgoing, or both;
Preferences - allows you to change your email password;
Redirect - forward your email to another email address;
Webmail - a link to https://webmail.simplybits.net
Autoresponder - sneds and automatic response, great for when you are out of town on vacation
- Type a name for the automatic reply, i.e. "Vacation notice";
- If you want your incoming mail to be forwarded to another e-mail address while you are away, specify an e-mail address in the Upon automatic response, forward the original message to the specified e-mail box;
- If you want this automatic reply to be sent in reply to any incoming e-mail message, in the Conditions group, leave the always respond
option selected. If you wish to automatically reply only to e-mail
messages that contain specific words in the message text or subject
line, select the appropriate option, and type the word combination in
the input box;
- By default, the subject line of incoming e-mail will be inserted into
the automated reply. To use a custom subject, type it into the Reply subject input box;
- As your correspondents may not figure out that the message they
received from you was an automatic response, they may want to respond
to your auto-reply. So, you should specify your e-mail address as the Return address, otherwise, their messages will be directed at the autoresponder's address;
- Specify the automatic reply message format (plain text or HTML) and character encoding (UTF-8 is recommended). If you use HTML tags in your auto-reply message, you should select the HTML option;
- Type your message in the Reply with text field;
- To limit the number of automated responses per day to the same e-mail
address, enter the desired number in the respective input box under Limits. The default setting is to respond no more than ten times in one day to the same e-mail address;
- To reduce mail server load, you may want to limit the number of unique
addresses that the autoresponder will remember. To do this, enter the
desired number into the Store up to box;
- Attach your files, if needed. To do this, click the Add New Attachment button, select the check box corresponding to the file that you previously uploaded to the attachment storage, and click OK. To remove an attached file from the automatic reply, select the corresponding check box, and click Remove;
- Click OK;
- Click Switch On in the Tools group
- ...and last bu tmost importantly, do not forget to turn it off when you return!
Spam Filter - allows for more control over the filtering your junk mail
- Click the "Switch Off" icon to completely disable it, if you do not want us to filter your email;
- If you would like the filter to be more aggressive chane the number in
the scoring box. The default score is 7. Lowering the number will make
it more aggresisive, i.e. 6 is more aggressive than 7 and 5 is even
more aggressive than 6.
- If
you would like the spam deleted at the server and never delivered to
you check the box labeled "Delete spam mail when it comes to
mailbox";
- If mail from someone you know is being marked as ****SPAM*** you can white list their email address so that mail from them bypasses the spam filter. Click the Add Address icon;
- The
training tab allows you to help teach the filter what is and what is
not spam, but it only works while your mail is still on the server. If
mail did not get tagged as ***SPAM*** click teh check box next to the
email and then click the "It's Spam!" button. This will help train the
filter. Conversely, if the mail was tagged as spam but it should not
have been click the "It's not Spam!" icon.
